1. Tool Overview
The Privacy Policy Email Update Tool allows the DIFM team to bulk-update the “Contact Us” email address in privacy policy documents.
Why it exists: When a privacy policy is copied from one website to another, it may still reference the source site’s email address. This tool ensures the correct target email address is applied consistently.
When to use:
- After migrating or duplicating a site.
- When the privacy policy contact email is outdated or incorrect.
- Anytime a bulk update is needed without engineering intervention.
2. Access & Permissions
Access location: The tool is hosted in Retool under the DIFM workspace.
Who has access: DIFM team members with Retool accounts and assigned permissions.
- Submit a request via the internal IT/Engineering support channel.
- Provide your Retool account email and justification for access.
- Access will be granted based on role and project needs.
3. Step-by-Step Usage Instructions
A. Select the Target Website
- Log into Retool and open the DIFM Tools.
- Click the search button and input website name.
- Choose the target site from search result.
B. Update the Privacy Policy Email Address
- Locate the Contact Us Email Address field.
- Enter the new email address (empty values are allowed if no contact email is required).
- Enter Privacy inquiries email if site requires.

C. Confirm Changes

A confirmation message will appear once the update is saved.

Verify changes in the dashboard view (updates appear immediately).
Note: Published documents may take time to reflect changes due to cache clearing (up to 24 hours).
4. Edge Cases & Expected Behavior
No Privacy Policy Document:

A warning message is displayed.
- The update form will not appear.
Empty Email Address:
- Allowed. The privacy policy will simply omit the contact email.
Cache Behavior:
- Updates are visible immediately in the dashboard.
- Published documents may require cache clearing before changes appear live.

Issue: Website not found in selector
- Confirm the site is onboarded in Retool.
- Contact engineering if missing.
Issue: Changes not visible on live site
- Wait for cache to clear or manually clear cache if possible.
Issue: Access denied
- Verify Retool permissions.
